Admin Staff & Admin BC - Enter Time into Telestaff
Log into Telestaff. Click on Calendar. Click on the day and then click Add. Select the Admin Word Code (i.e. Admin Overtime, Admin Sick Leave, etc.), enter the from and to time, and enter a note. Then click check both boxes and save.

BC Day covering for BC Shift OT
There is a slight change when a Day BC is covering for a Shift BC. Admin BC’s are in Telestaff as working 4/10’s from 6 am - 4 pm. The Shift position doesn’t start until 7:30 am, so TeleStaff thinks that the BC is still working Admin from 6 am - 7:30 am and then working their Shift BC position. Telestaff puts 1.5 hours in on the Admin Roster. This has caused some questions from Finance as to why and if I can stop it from happening. I have changed the behavior of the work code (BC Day covering for BC Shift OT) to suppress the Admin Assignment and Vacancy so the Admin Roster doesn’t have the Admin BC working in Admin that day, they will only show up in Battalion 1 for that day. When you add the work code BC Day covering for BC Shift OT, you will have to do the following, so TeleStaff shows time correctly. Select the vacant position and Fill by rules. Select the person from the picklist and change Outcome to Accepted and Save. Now on the Roster you will see the +OT code. Edit the +OT code. Select the Work Code BC Day covering for BC Shift OT. When you make this selection, you will see that the 2 boxes for Suppress are checked. DO NOT touch these. Just save That’s it.

Deploying a Special Unit in Telestaff
Go to Roster for the day you need to deploy the apparatus. Click on a blank area and select Deploy. Select the shift. Type in the From and Through time. Select the Unit you want to deploy from the list. Click Save. If you need to deploy for several days, go to Roster Click on the Unit you selected (i.e. Engine 66) and then select Copy Unit. Click in the Date field and select Multiple Dates Multiple Dates should be in dark blue. Click on all the dates you want to deploy. When finished, click Done. You will see X Selected for the number of days you selected. Click Save when finished. Now when you go to the dates you selected, you will see the Unit Special Deploy.

Add Telestaff to Mobile Device Home Screen
Open Browser on mobile device and go to https://novatofire-tsc.prd.mykronos.com/telestaff. Click the up arrow next to the URL. Click Add to Home Screen.

Out of County - BC
If an Admin BC is working and then goes out of county: Example: on 1/9/2025, BC Whittet regular Admin Shift is 0600-1600. He deployed to LA at 1130. B2 – 0600-1130 – Regular (5.5hr) B1 – 1130-1600 – OOCRP (4.5hr) B1 – 1600-0730 – OOCOT (14hr) On the Roster, we need 3 vacancies for 1/9/2025 because Go to Roster for the day, left click on a blank area on the date line and select Deploy. Select the shift. Type in the From and Through time. In this case we need: B1 – 1130-1600 – OOCRP (4.5hr) Select the Unit you want to deploy from the list. In this case we are deploying a BC, so select Battalion Chief 2 from the list. Now select the Position from the list. On the top right click Deploy Another and save. This is because you need to add the OOC Reg pay and OT, you need to deploy another. You will still be in the Deploy screen. The same shift will be selected for that date. Change the From and Through time. In this case we need: B1 – 1600-0730 – OOCOT (14hr) The Unit should still be selected (in this case Battalion Chief 2). Select the Position from the list. Click Save and you will be in the Roster. You will see the vacant positions at the bottom. To fill the positions, click on the head in the top right corner. This will bring up the list of people on the left-hand side. Find the person’s name (i.e. BC Whittet) and drag him to the correct line. Select Out of County Regular Pay. The From and Thru times should be correct. If they are not, you can correct them now. Then click Save. Find BC Whittet’s name and drag him to the other line. This is for his Out of County OT. Select Out of County OT. The From and Thru times should be correct. If they are not, you can correct them now. Then click Save. For Battalion 1 Roster, you will see his 4.5 and 15.5 hours. And for Admin Roster, you will see the 5.5 hours. If the Admin person will be out of county for a while To find out what their working days and non-working days are: Select the Admin Roster Take note of the days and times they work. In this screenshot it says Taul works Tu-F 6-4 and BC Whittet works M-Th 6-4. Working day Go to Roster for the day, left click on a blank area on the date line and select Deploy. Select the correct date, shift, and Unit For Working days, you will need to deploy twice. Enter info for the Regular pay. Select the date, shift, from and through time, unit, and select the Battalion Chief position. 0730-1730 - Out of County Regular On the top right click Deploy Another and save. This is because you need to add the OOC OT pay so it keeps you in this screen. Enter info for the Overtime pay. Select the date, shift, from and through time, unit, and select the Battalion Chief position. 1730-0730 – Out of County OT Click Save. You will see the vacant position at the bottom for both the 10 hour and 14 hours. To fill the positions, click on the head in the top right corner. This will bring up the list of people on the left-hand side. Find the person’s name (i.e. BC Whittet) and drag him to the correct line. Confirm the information is correct for the Overtime and click Save. The OT hours are 14 hours. Make sure the work code and hours reflect that. Do the same for the other open position. Confirm the information is correct and click Save. The Regular hours are 10 hours. Make sure the work code and hours reflect that. You will see the correct code with the correct hours. Non-Working day Go to Roster for the day, left click on a blank area on the date line and select Deploy. Select the correct date, shift, and Unit For Non-Working day, enter info in the From and Through time and select the Battalion Chief position. 0730-0730 - Out of County OT Save You will see the vacant position at the bottom for 24 hours. To fill the positions, click on the head in the top right corner. This will bring up the list of people on the left-hand side. Find the person’s name (i.e. BC Whittet) and drag him to the correct line. Out of County OT will be here. Just click Save. You will see the 1 line for the OT for out of county.

Change Mandatory Hours
When a member is off for a long period of time (WC, FMLA, Sick, etc.), you need to change their mandatory hours to be averaged to match other member’s mandatory hours of the same rank. Find all members on the same shift with the same rank. Click People>Filters>select Shift and Rank. (i.e. Swanson, he is a FFPM, and look for everyone on A Shift that is FFPM). This filters everyone for that shift and rank. Write down each person’s name. Click on each person. Click on Logged, change Bucket to Mandatory Bucket. Click on Logging Period until the most recent date is at the top. Write down the number that appears under Hours. Do this for everyone on the list. Add all the hours and then divide it by the number of people, not including the person that is asking for adjustment. i.e. 237.25+178.5+240+242+240+216+240=1593.75 then take the total and divide by number of people 1593.75/7=228 (Keep number whole by rounding up or down). Click on the person that needs Mando hours adjusted>go to Logged>Select Mandatory Bucket>Sort by date> and enter this number. i.e. open Swanson>Logged> Mandatory Bucket>Sort by date, making sure the current year is first, change the number under Hours from 120 to 228 and save. If the person worked Mandatory OT before you made this change, add this number to your final number. 228+48=276. And save.

Finalize the Roster
Finalization is typically performed after the shift has ended when all entries on the roster are accurate and changes are not expected. Navigation: Toolbar > Roster From the Roster page, use the Calendar icon to navigate to the desired roster date. Select the Multiple Dates and then click on the calendar to select the days to be finalized. Click Done Click on a blank area on the Battalion 1 row on page. The Finalize/Fix window will come up Select Finalize/Fix from the menu. A Finalize/Fix panel appears on the roster. In the Mode field, select either Finalize or Fix. In the Battalion field, confirm or select the regions you wish to finalize or fix. In the Shift field, confirm or select the shifts you wish to finalize or fix. Select Save. To Make Sure you Finalized Calendar Open Calendar If it’s your shift day you finalized, then you should get a gray banner with the time like picture below. If day is not finalized, then no gray banner like picture below.

Twilio (Telestaff text messaging)
Telestaff will send out a text message to your cell phone and you need to validate your number. The text message will come from 1-866-261-2151. You can add this number to your contacts because this is the number Telestaff will always use for outbound messages. When you receive the text, it will include a link (image on left side). Clicking on the link will direct you to Telestaff, where you will need to enter your credentials to log into Telestaff. Once you log in, you will see the Verified message (image on right side) you can close the screen. This tells Telestaff that you allow text messages from the system. You can opt out or in at any time. To opt out: Text 1-866-261-2151 and type in STOP. Telestaff will stop sending you text messages. To opt in: Text 1-866-261-2151 and type in START.
