How to Schedule Video Meeting using Teams
Modified on: Thu, Mar 13 2025 3:57 PMWith O365, everyone has a meeting room called TEAMS. You do not have to use Zoom for all meetings. If you are using the Station NEAT Bar (main TV), you must still use Zoom.
If you want to schedule a Teams meeting for you and an outside person or an internal person, follow the instructions below.
Using Outlook Client

Open Outlook Client
- Click on your Calendar
- Select New Appointment
- Select Invite Attendees
- Enter the Subject of the Meeting and add email address of the people you would like to invite (internal or external) in the Required or Optional fields.
- Remove the “All Day” check box and adjust the meetings start and end time.
- The location section of the meeting will have Microsoft Teams Meeting with the link in the body of the calendar invite.

If you don’t see the meeting link in the body of the calendar invite:
- Click Teams Meeting>Schedule Meeting
- The appointment information will now show up in the body of the calendar invite.
- Click Teams Meeting>Schedule Meeting
- You can add attachments or notes in the Description part of the meeting.
- Click Send and your meeting invite will be sent to your participants.
Schedule Teams Meeting using Outlook Web (OWA)
- Log into your Outlook email.
- Select Calendar icon
- Select New Event

Enter the Subject, give the meeting a start and end time. Toggle on the Teams meeting
- You can add attachments or notes in the Description part of the meeting.
- Click Save and your meeting invite will be sent to your participants.
